n8n vs Zapier: Why We Choose n8n for Enterprise
A fair comparison of two automation platforms on price, flexibility, data privacy and scale — from people who run them in production.
When a business first meets automation, the first name that comes up is Zapier. It is simple, has thousands of ready integrations, and genuinely works for light scenarios. But as tasks get more serious and data volume grows, many teams hit its ceiling. For enterprise projects we choose n8n by default. Here is an honest comparison — no zealotry, pros and cons of both.
Cost at scale
Zapier is priced per executed task. For a couple hundred operations a month that is pennies. But enterprise scenarios mean tens and hundreds of thousands of operations, and the bill grows alarmingly fast. The platform effectively penalises you for success: the more automation runs, the more it costs.
n8n is open-source; you can self-host it on your own server and pay only for infrastructure. Operation volume does not drive cost directly. For a business with a heavy event flow, the yearly difference is measured not in percent but in multiples.
Flexibility and complex scenarios
Zapier works great on the "trigger → action" model. But the moment you need branching, loops, array handling, custom code or non-standard logic, the workarounds begin. Many things simply cannot be done without stepping outside the builder.
In n8n every workflow is a graph of nodes where you can drop in a node with arbitrary JavaScript, branch, loop, or wait for an external event. It is closer to real development — a plus for enterprise: you do not hit a platform wall when the logic gets non-trivial.
Privacy and control over data
This is the deciding factor for many of our clients. Zapier is cloud: your data passes through a third-party service's servers. For companies with privacy requirements (healthcare, finance, legal data, GDPR) that is often a non-starter.
Self-hosted n8n runs on your own infrastructure. Data never leaves the perimeter you control. When we build automation around Claude and client-data processing, this keeps sensitive information under your own control — an argument that closes deals with cautious clients.
When Zapier is the right call
Let us be fair: n8n is not always better. If you run a small business, a couple of simple integrations and no technical team, Zapier delivers results faster and without server fuss. Paying for SaaS that "just works" is cheaper at low volume than maintaining infrastructure.
The line is roughly where at least one of these appears: high operation volume, data-privacy requirements, complex logic, or a need for custom integrations not in the catalogue.
Our verdict
For enterprise we choose n8n for predictable cost at scale, full control over data, and a flexibility ceiling that arrives much later. In the Madrid marketplace case, n8n let us sync 6 platforms and 1800+ products, cutting manual work from 8 hours to 15 minutes a week — a scenario that would hit both the cost and the flexibility wall on Zapier.
