A classic CRM is a powerful tool, but for many small teams it stays half-empty. Managers do not want to switch from the messenger they live in all day to a separate system with dozens of fields. As a result, data gets entered late, hit-or-miss, or not at all. We solved this differently: we built the CRM right inside Telegram — where the team already lives.

The problem: a CRM nobody opens

The agency we worked with had a full CRM subscription. But the real work happened in Telegram chats: leads landed there, clients were discussed there, edits were approved there. The CRM was opened once a week to "enter what we remembered". The funnel did not reflect reality, reports were unreliable, and the manager could not see what was happening with leads in the moment.

The root cause was not the people or their discipline. The tool simply sat outside the workflow. Every action required leaving the messenger, opening the system, finding a record, filling fields. That barrier killed the habit.

The solution: a bot that runs deals inside the messenger

We built a Telegram bot that became the interface to the CRM without pulling people out of Telegram. The logic runs on n8n and Claude.

Lead capture

A new lead from the website or an ad is delivered by the bot straight into the work chat — with the client's data already parsed and a "Take it" button. The manager taps the button right in Telegram, and the deal is created in the database without a single manual field.

Status updates via buttons

You can move a deal through the funnel right from the chat: the bot shows the current status and buttons for the next steps. Tap "Quote sent" — the status updates and the timestamp is recorded. No forms, no context switching.

Smart text handling

This is where Claude comes in. A manager can simply message the bot "client wants an invoice to their LLC, shipping Wednesday" — and the bot extracts the entities, updates the record and creates a task. The person writes in plain language as usual, and the AI handles the structuring.

The result

The main effect: data reflects reality again. Because entering information stopped being a separate action and merged with normal messaging, the funnel became accurate for the first time in ages. The manager got a live picture of leads, and the team stopped seeing "keeping the CRM updated" as extra work.

It is the same principle as in our automation projects: do not force the person to adapt to the system — embed the system where the person already is. If your team's CRM is "for show", maybe the problem is not the team but the fact that the tool sits off the path of the flow.
